Terms
Terms & conditions
Last updated 28 October 2026
These terms cover the training and advisory services The AI Lab provides: our training workshops, and the AI Adviser. They are written in plain English. By booking a workshop or the AI Adviser with us, you agree to them. If anything is unclear, email hello@theailab.co.uk before you book.
These terms cover training and advisory consultancy. Benchmark Lab’s indices and reporting are separate services; see Benchmark Lab for the information and terms that apply to them. You may choose to share findings with us to inform training or advice.
1. Who we are
The AI Lab is a trading name of The AI Adoption Lab Limited, a company registered in Scotland under company number SC900444, which provides practical AI training and advice for teams, based in Edinburgh and delivered across the UK. Our registered office is 5 South Charlotte Street, Edinburgh, EH2 4AN. In these terms, "we" and "us" mean The AI Adoption Lab Limited, and "you" means the business booking the training or the AI Adviser. The contracting party is the company, not the trading name.
2. What we provide
Training workshops. We deliver a practical training workshop: a repeatable method, taught in one day in person, or two half-day sessions online, using the tools your team already has, with safe-use guidance tailored to your sector. We teach and coach. A workshop is not a discovery project or an audit of your business, and we do not write your AI policy for you.
The AI Adviser provides a standalone strategy package for your leadership team, with optional ongoing monthly advice.
- Strategy package. Pre-meeting research and a review of your organisation’s benchmark findings; one leadership strategy session delivered on site or remotely; further analysis and research after the session; a written strategy report with three to five priorities; and one remote follow-up discussion. All work outside the strategy session is delivered remotely. The package can be bought on its own, with no ongoing commitment. You choose which benchmark findings to share with us.
- Optional monthly advice. A scheduled remote leadership review, preparation, a written summary of agreed actions and follow-up on those actions. Every six months while monthly advice continues, we review your benchmark findings and refresh your plan, considering changes alongside evidence from your business. Monthly advice follows completion of the strategy package and starts only if you choose it. Additional on-site meetings and work beyond the agreed scope are agreed and priced separately.
The strategy report and the notes are our advice. The decisions you take on them, and any policy you adopt from them, remain yours.
Software development, custom tools, automations and IT delivery projects are outside the scope of these services. Training is not included in the strategy package. Additional interviews, deeper process analysis and wider stakeholder work are separately scoped and priced. Where you need build work, we can help you define it and find someone to do it, but that work is not ours and is not covered by these terms.
3. Bookings, prices and payment
Prices on our website are for information and are not an offer. The price, scope and any discount for your booking are set out in the written order or agreement we send you, and that is the price you pay once you accept it. These terms state deposits, instalments and fees as shares of that agreed price, not as figures. Prices are exclusive of VAT. A Confident & Safe AI course is for up to ten people. In person it runs as one day. Online it runs as two half-day sessions, normally on separate days. Preparation is included in the course price.
For a training workshop:
- A 50% deposit secures the date. We hold the date once we have agreed it in writing and the deposit has been paid. The deposit is not refundable: it pays for the date being reserved and taken out of our diary. You can move the date without charge with more than five working days’ notice, provided the new date falls within six months of the original. Cancellation, shorter notice and failure to agree a new date within that period are covered in section 4.
- The balance is invoiced on the day of delivery (for a course run as two sessions, the day of the second), payable within 30 days of the invoice date.
For the AI Adviser:
- The strategy package is a fixed price, paid in two halves. The first 50% of the agreed price is invoiced when you book and works as the deposit above: once it is paid we hold the date of the strategy session, and it is not refundable. For a package delivered as agreed, the remaining 50% is invoiced after the remote follow-up discussion and is payable within 30 days of the invoice date. If the engagement is cancelled, the cancellation provisions in section 4 determine the fee payable instead; any cancellation balance can be invoiced without waiting for a follow-up discussion and remains payable within 30 days of the invoice date.
- Optional monthly advice is a monthly fee, invoiced monthly in advance, payable within 30 days of the invoice date. If selected, it runs for a minimum of three months from the first monthly session. After that it continues month to month until either of us gives one calendar month’s written notice to end it. The minimum commitment is therefore three monthly fees. There is no monthly commitment when you buy only the strategy package.
Founding training rates:
- Training only. The founding offer is a 20% reduction from the standard Confident & Safe AI course price, virtual or in person, and the written order for a qualifying booking shows the standard price and the reduction applied to it. To qualify, the date must be agreed in writing and the 50% deposit paid by 31 December 2026. Training can take place in 2027, subject to the rescheduling rules below. The founding offer does not apply to the strategy package or monthly advice.
Any founding training rate already agreed in writing continues under the terms of that booking.
How the deposit works alongside section 4:
- Moving the date costs nothing. With more than five working days' notice, your deposit carries over in full to the new date. There is no limit on how many times you move it, as long as the new date falls within six months of the original.
- Cancelling outright means we keep the deposit. The date has been held for you and, at short notice, we cannot fill it.
- Not finding a new date within six months is treated as cancelling, so the deposit is kept at that point.
- Cancelling with five working days or less to go means the full fee is payable: we keep the deposit and invoice the balance.
UK travel and accommodation for an in-person training course or the strategy package’s single on-site strategy session are included in the agreed price. We do not recharge those costs, including when you move or cancel a date. Any additional on-site advisory meetings are separately agreed and priced before booking.
If an invoice is not paid on time we reserve the right to claim interest and compensation under the Late Payment of Commercial Debts (Interest) Act 1998. Statutory interest runs at the Bank of England base rate plus 8% a year, calculated daily on the overdue amount from the day payment became late until it is paid, together with the fixed compensation sum and reasonable recovery costs the Act allows. We would always rather talk to you first.
4. Changes, cancellations and rescheduling
If you need to move or cancel a confirmed date, tell us as early as you can. What happens next depends on how much notice we have. "Working days" means Monday to Friday, excluding public holidays in Scotland. For a course run as two sessions, each session is treated as a date of its own below: you can move either one on these terms, and a session nobody attends counts as a cancellation inside the five-day window. Cancelling the whole course is measured from the first session that has not yet run.
- Moving the date, more than five working days before the session. No charge. We agree a new date and your deposit carries over to it in full, as long as the new date is within six months of the original.
- Cancelling outright, more than five working days before. No further fee is due, but the deposit is not refunded. It paid for the date being held for you.
- Five working days or less before the session. The full fee is payable. By that point the date is held, your materials are prepared and we cannot fill the slot.
- If nobody attends a confirmed session and you have not told us beforehand, it is treated as a cancellation inside the five-day window and the full fee is payable.
If we cannot agree a new date within six months of the original, the booking is treated as cancelled from that point and the deposit is kept.
The AI Adviser strategy package. The strategy session can be moved free of charge with more than five working days’ notice, subject to the six-month rescheduling limit above. If you cancel the package outright more than five working days before that session, we keep the first half of the fee and nothing further is due. Once the strategy session has run, or if you cancel with five working days or less before it, the full package fee is payable.
Optional monthly advice. A monthly session can be moved to another date in the same month with more than five working days' notice. A session you miss, or do not move in time, is not refunded or carried forward. Ending monthly advice is by notice, as set out in section 3; the months you are committed to remain payable.
If we have to move a session (for example, through illness), we will agree a new date with you or refund in full any payment for a session we cannot deliver. You will not be charged for our rescheduling.
5. What you are responsible for
- Providing a suitable room (for in-person sessions) or a working video link (for virtual sessions), with internet access for attendees.
- Making sure attendees can sign in to the tools used on the day. Participants can practise with free tools; some demonstrated features require paid plans. We agree suitable tools and preparation beforehand, and you do not need to buy paid licences before training.
- Deciding what internal or client information your team puts into AI tools. We give guidance on safe use, but the decision and the policy remain yours.
- For the AI Adviser, making your senior people available for the sessions, and giving us the information and files we agree to work from, in good time.
6. Tools and licences
Our services use third-party AI tools (for example, Microsoft Copilot, Claude, ChatGPT and Google Gemini). We are not affiliated with these providers, and any prices we mention for them are indicative only. Your use of those tools is governed by their own terms, not ours.
7. Course materials and your plan
Any materials we provide are for your team's internal use. We keep ownership of the method and the materials; please do not resell or redistribute them outside your organisation. Your strategy report and the notes we write for you under the AI Adviser are yours to use, change and share within your organisation as you wish; the method behind them stays ours.
8. Confidentiality
We do not need to see your confidential work to deliver the training, and we ask you not to share it with us unnecessarily. Anything commercially sensitive that is shared during a session is treated as confidential by both sides.
The AI Adviser does work from your own information and files, and which ones is agreed with you beforehand. We keep them confidential and use them only to deliver the AI Adviser to you. When the strategy engagement ends, or any agreed ongoing monthly advice ends, we return them if you ask and delete our copies within 30 days unless the law requires retention. The AI Adviser data processing terms explain how this applies to client personal data, reports, notes and backups. Our own administrative records are covered separately by the privacy notice. Personal data in them is also covered by section 10.
9. What we can and cannot promise
We will deliver our services with reasonable skill and care. AI tools change quickly and results depend on how your team applies what they learn and what you decide on our advice, so we cannot guarantee a specific business outcome. Nothing in these terms limits our liability for death or personal injury caused by negligence, for fraud, or for anything else that cannot be limited by law. Subject to that, our total liability in connection with a workshop is limited to the fees you paid for it, and in connection with the AI Adviser to the fees paid or payable for it in the twelve months before the claim arose. We are not liable for indirect or consequential loss.
10. Data protection
We handle personal information as described in our privacy notice. Where the AI Adviser works from files that contain personal data, you are the controller of that data and we process it on your behalf as your processor, under our AI Adviser data processing terms, which form part of these terms. The AI Adoption Lab Limited is registered with the UK Information Commissioner's Office under registration number ZC251110.
11. Governing law
These terms are governed by the law of Scotland, and disputes are subject to the courts of Scotland.
12. Changes to these terms
We may update these terms from time to time. The version that applies to your booking is the one in force on the date we confirm it.
